Privacy policy

This policy explains what personal information Hostwise collects, why we collect it, and the choices you have. Hostwise is created and designed by Plan Be. In this policy, "we", "us" and "our" mean Hostwise.

Who this policy covers

It covers people who visit our website, people who buy from us (the "organizer"), and guests who use an event website, invitation or RSVP form that we built for an organizer.

Information we collect

  • From organizers: your name, email address, phone number, event details (type, date, venue, colors, wording), the guest information you give us, and your order and payment details.
  • From guests: the details a guest enters on an RSVP form, such as name, email, phone number, whether they will attend, number of guests, meal choice, plus one, allergies or dietary needs, and any message to the host.
  • Automatically: basic technical information such as your browser, device, pages visited and approximate location, collected through cookies and similar tools.

Payment card details are handled by our payment processor. We do not store full card numbers.

Allergies and dietary needs

Guests may share allergies and dietary needs so that the host can plan the menu safely. We treat this as sensitive information. It is used only to help the organizer plan the event, and we do not use it for marketing.

How we use information

  • To build and deliver your event website, digital invitation, printable PDF and dashboard.
  • To collect and show RSVPs, meal choices, allergies and plus ones to the organizer.
  • To send invitations, updates and reminders by email or text for the organizer, only to guests who agreed to receive them.
  • To process payments, provide support and send order and account messages.
  • To improve our website and services, and to keep them secure.
  • To send you news and offers about Hostwise, only if you have agreed. You can unsubscribe at any time.

Who owns the guest information

Guest lists and RSVP answers belong to the organizer. We handle them on the organizer's behalf, to deliver the service they ordered. If you are a guest and want your information changed or removed, please contact the organizer or us, and we will help.

Text messages and email

We send text messages and email only to people who have agreed to receive them. Message and data rates may apply. You can reply STOP to any text to opt out, and you can use the unsubscribe link in any email.

Who we share information with

We do not sell personal information. We share it only with:

  • Service providers that help us run Hostwise, such as our website and messaging platform, email and text providers, payment processor and cloud hosting. They may use the information only to provide services to us.
  • The organizer, for guest information collected for their event.
  • Authorities, when the law requires it, or to protect our rights and the safety of others.
  • A buyer, if our business is sold or merged. We would tell you first.

Cookies and analytics

We use cookies and similar tools to keep the site working and to understand how it is used. You can turn cookies off in your browser settings, but some parts of the site may not work as well.

How long we keep information

We keep information for as long as we need it to deliver your event and to meet legal, tax and accounting duties. After that we delete it or make it anonymous. You can ask us to delete your information sooner.

How we protect information

We use reasonable technical and organizational safeguards, such as access controls and secure connections, to protect personal information. No online service is completely secure, so we cannot guarantee absolute security.

Where information is stored

Our service providers may store and process information in Canada, the United States or other countries. Laws in those places may differ from the laws where you live.

Your choices and rights

Depending on where you live, you may have the right to ask to see the personal information we hold about you, correct it, delete it, withdraw your consent or object to certain uses. To make a request, contact us using the details below. We may need to confirm your identity first, and we will respond within a reasonable time.

Children

Hostwise is for adults who organize events. We do not knowingly collect personal information directly from children under 13. Organizers who list children as guests are responsible for having permission to share that information.

Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the effective date at the top.
